CONGRATULATIONS are in order because you made the decision to have an expertly guided and enjoyable planning journey! We can't thank you enough for trusting TLC Events to share in such a special experience. We hope you're as excited as we are to get started. We'd like to officially welcome you to the TLC Family! This welcome guide will cover everything you need to know to kick this trail off right. We're getting your personal Client Portal ready for you right now, but in the meantime, review our policies and procedures as well as our planning process.
Be on the lookout for additional emails with your login information as well as a link to complete your Client Profile. We'll need this document back within a week so that we can schedule our First Planning Meeting and/or get you your custom vendor recommendations. You'll get more details about that in your email.

WHAT TO EXPECT

Support office hours are Tuesday – Thursday 9:00 AM – 2:00 PM. Our team is out of office on Mondays, and often in onsite meetings Fridays. We are accessible by email and for meetings or scheduled phone/video calls during office hours.
TLC EVENTS is closed on the following holidays:
December 31 + January 1- New Year's (Observed)
May 29 - Memorial Day
July 4 - Independence Day
September 4 - Labor Day
November 10 - Veteran's Day (Observed)

We adhere to a strict confidentiality code and no information will be divulged to a third party. We take your confidentiality very seriously – all passwords and personal information are kept private and we use the highest level of internet security. Additional confidentiality measures are outlined in our contract. Any documents, files, and resources provided by your planner are the sole property of TLC Events and cannot be copied or distributed to anyone else. You can find more details about our confidentiality policy in your contract.

RESPONSE TIME
Your planner and TLC team members will respond within 24-48 hours during office hours. We will respond to correspondence received between Friday - Monday when we return back to the office on Tuesdays, in the order of receipt, urgency and event date. Delays in response times from the client when the planner is awaiting details will cause delays in the timeliness of service fulfillment and may result in planning delays.
METHODS OF COMMUNICATION
Communication will only be via email outside of scheduled video or in person Planning Sessions, unless your planner has invited you to connect via text or phone calls.
PLEASE NOTE: Facebook Messenger, Whats App, Instagram DM or other messaging apps are not to be used as a form of reliable communication when doing business with TLC Events.
Why do we have to communicate via email?
Answer: Conversations often get lost in multiple message threads. If you or we need anything during the planning process, we can email directly so that correspondence is kept in one easy to follow and reference place instead of having things lost in text messages or various methods of communication.
CONTACT PERSON
Due to the complexity of your planning, the Lead Planner will primarily communicate with the primary decision-maker during this planning process. Depending upon the services secured, you may work with various members of our team along your journey, but your Lead Planner is always your go to for communicating your questions or needs.
CLIENT CALLS + MEETINGS
During the scheduled time of the call, we will wait for your arrival for 10 minutes. After we've waited 10 minutes, the call will be documented as a no show and must be rescheduled. Rescheduled calls will delay the timeliness of your planning process. You may reschedule your call up to one time per planning session. If a rescheduled Planning Session is missed, that session will be forfeited and may cause delays in your planning process.

During the planning process, we will request files, details, and resources from you pertaining to your event. We will request these files, details, or resources via email and your Client Portal before we begin and throughout the planning process.
We ask that you provide this information within 2 days unless otherwise stated so that there are no interruptions in your event preparations. Access to these files and details will be located in your Client Portal.

Sign Contract and submit retainer fee
02. GEARING UP
Once your contract is complete, we'll begin setting up your Client Portal and will email access to it once ready
You will also receive your Vendor Questionnaire. Once you fill out and submit the form, our team will get to work curating your custom list of recommended vendors to fit your needs
If Full Service or Collaboration, your First Meeting is 1-hour and covers your Questionnaire answers on vision, style, vendors and budget. The Planner helps develop ideas, makes vendor recommendations and drafts a wedding day timeline
A custom to do timeline will be created following the first meeting.
PHASE I: THE VIP PHASE
In this phase, we will work on researching and securing your VIP Vendor Team. These vendors include those in high demand and those that have a large impact on your celebration (Venue, Catering, Photo/Video, Entertainment).
We will also be working on setting up your wedding website, taking engagement photos and sending out Save The Dates in this leg of our journey.
PHASE II: THE DESIGN PHASE
Then it's time for all things mixed metals and prints. Or not. But all things pretty! In this phase, we will focus on the aesthetics of the event and securing those vendors involved (think Floral, Rentals, Signage, Hair and Make Up, Dessert, unique experiences, etc.)
We will also be working on adding details to your plans and website, selecting wedding party attire, welcome events and/or activities for the wedding weekend.
PHASE III: THE WRAP-UP PHASE
Finally it's time to focus on tying all our work into a pretty bow, making sure we reconcile all of our planned details with each vendor. Sending Invitations, confirming head counts, seating arrangements and meal selections, finalizing layouts and contracts, final site visits and communicating it to the vendor team and wedding party.
We'll be knee deep in the details, while you will be writing your vows, picking up your rings, getting your marriage license and maybe even packing for your dreamy honeymoon.
